Move and copy styles, macros, and building blocks

The styles, macros, and building blocks that you create in one document or template can be copied or moved so that you can use them in others.

By copying styles from one template or document to another, you can reuse styles, keep related templates more consistent, and cut down on the work required to define styles in each template you need. To copy specific styles from one template to another, you use the Organizer dialog box.

Copy a style from one template to another

The Organizer lists the styles defined in the templates (or documents) that you open by using the Close File and Open File buttons below the Organizer’s list boxes. The attributes of a style you select in either list box are displayed in the Description area. 

  • Read the description to determine whether you need the style in the template to which you are copying styles.
  • In addition to copying styles from template to template, you can delete and rename styles in the Organizer.

You can also use the Organizer to copy macros between documents and templates. This is done on the Macro Project Items tab of the dialog box, which has buttons and list boxes that you can use to open the template or document that contains the macros you want to copy and the template or document you want to copy the macros to.

You can also move a building block, such as a header or a cover page, from one template to another. By default, the building blocks that are built into Word are stored in a template file named Building Blocks.dotx. Word stores this file in the AppData\Roaming\Microsoft\Document Building Blocks\1033\16 subfolder of your user profile folder. (The folder named 16 stores files related to Office 2016.) The building blocks stored in this template are available to all the documents that you create.

To move a building block to a different template, which makes the building block available in documents based on that template, you use the Building Blocks Organizer. The Building Blocks Organizer lists building blocks by name, gallery, category, and template. You can click the column headings to sort the list so that you can find the building block you need more easily.


To copy styles between templates

1. Open the Styles pane.

2. At the bottom of the Styles pane, click the Manage Styles button.

3. In the Manage Styles dialog box, click Import/Export to display the Styles tab of the Organizer.

4. In the Styles available in lists, click the templates you want to copy styles from and to. If the template isn’t in the list, do the following:

a. Click Close File to release the current template style list, and then click Open File to display the content of the Templates folder.

b. In the Open dialog box, navigate to and select the template or document you want to use, and then click Open.

5. In the list box for the template you are copying styles from, select a style or styles, and then click Copy.

6. When you are done copying styles, click Close.


To copy macros between templates

1. On the View tab, in the Macros group, click the Macros arrow, and then click View Macros.

2. In the Macros dialog box, click Organizer to display the Macro Project Items tab of the Organizer.

3. Click Close File and Open File to display the templates or documents you want to copy macros from and to.

4. In the list box for the template you are copying macros from, select the macros, and then click Copy.

5. When you are done copying macros, click Close.


To move a building block to a document or template

1. Open the template (or a document based on that template) that you want to move the building block to.

2. On the Insert tab, in the Text group, click Quick Parts, and then click Building Blocks Organizer.

3. In the Building Blocks Organizer, select the entry for the building block you want to move, and then click Edit Properties.

4. In the Modify Building Block dialog box, in the Save in list, select the template where you want to store the building block.

5. Click OK in the Modify Building Block dialog box, and then click Yes to confirm the operation.

6. In the Building Blocks Organizer, click Close.
